How to Set Up Notion for Your Business in 30 Minutes

Why Notion is the Best Tool for Entrepreneurs

If you're running a business and still juggling Google Docs, Trello, a paper planner, and three different spreadsheets — this guide is for you.

Notion is a single workspace where you can manage everything: tasks, projects, notes, client information, content planning, and goals. And the best part? It's completely free to start.

Step 1: Create Your Free Notion Account

Go to notion.so and sign up with your email. The free plan gives you unlimited pages and blocks — more than enough to run an entire business.

Step 2: Set Up Your Main Dashboard

Your dashboard is your home base. Create a new page and call it something like "My Business Hub" or "Command Center." This is the page you'll open every morning.

From your dashboard, you'll link to all your other pages — tasks, projects, notes, and more.

Step 3: Create a Task Manager

Add a new database (click "/" and select "Table") and set it up with these properties:

  • **Task name** (title)
  • **Status** (Not started / In progress / Done)
  • **Priority** (High / Medium / Low)
  • **Due date** (date property)
  • **Project** (relation to your Projects database)

  • Step 4: Build a Project Tracker

Create another database for projects. Each project is a row, and you can add properties like:

  • Status (Planning / Active / Complete)
  • Start date and deadline
  • Client name
  • Notes

  • Step 5: Add a Content Calendar

If you create content (blog posts, social media, videos), a content calendar is essential. Create a database with a Calendar view so you can see your entire month at a glance.

    Step 6: Link Everything Together

The real power of Notion comes from linking databases. You can connect your tasks to projects, your content to clients, and your goals to everything else. This is what makes it feel like a true business operating system.

    The Shortcut: Use a Template

If setting all this up from scratch sounds overwhelming, the good news is you don't have to. Our Ultimate Productivity Hub template has all 6 databases pre-built and ready to use. Just duplicate it into your Notion account and you're set up in minutes.

    Final Thoughts

Notion has a bit of a learning curve, but once you get the hang of it, you'll wonder how you ever managed without it. Start simple — just a task list and a project tracker — and build from there.
